Each tool was compared using its own QuickBooks documentation: supported QuickBooks versions, how the sync works, line-level coding, approvals and payments. Checked November 2026.

The best AP automation software for QuickBooks reads every line of a bill, codes each line to the right account, class and customer or job, and syncs the finished bill back to QuickBooks Online or QuickBooks Desktop. QuickBooks already handles bills and, on some plans, bill approval workflows by amount, vendor or location. The tools below sit on top of it. MakersHub is the top pick. MakersHub is AP automation for organizations that track spend by project, location, program or entity.
MakersHub reads every part of every bill, codes each cost to the right place and puts it in front of the right people before it's paid. MakersHub is set up around how your business already works, and our team configures it with you. The other seven tools here each start from a different place: procurement, payments, corporate cards, approvals or global payouts. The right one depends on how much detail you need on each bill when it lands in QuickBooks.
Every tool below captures bills, routes approvals and syncs with QuickBooks Online, MakersHub included.
| Tool | What it is | QuickBooks connection | Best for |
|---|---|---|---|
| MakersHub | AP automation, with vendor payments, that reads every line of every bill and codes each line to your QuickBooks structure | QuickBooks Online and Desktop (Web Connector), two-way, in-house. Also NetSuite, Sage Intacct, Xero and Intuit Enterprise Suite | Best for growing businesses that track spend by project, location, program or entity, with every line of every bill coded to the right one and approved before it's paid. |
| Stampli | Procure-to-pay platform built around a discussion thread on each invoice | QuickBooks Online (API) and Desktop (Stampli Bridge), two-way | Teams that want purchase requests, AP and payments in one procurement platform |
| BILL | Payables and receivables platform | QuickBooks Online (daily auto sync) and Desktop Pro, Premier and Enterprise (sync dashboard) | Teams that want payables and receivables from one vendor |
| Ramp | Card-first spend platform with bill pay, procurement and expenses | QuickBooks Online (Essentials and up) and Desktop (Web Connector on Ramp Plus, or file export) | Companies where corporate card spend is the bigger half of the problem |
| Melio | Bill pay for small businesses paying by ACH, card or international transfer | QuickBooks Online two-way; Desktop on its higher plans | Small businesses whose main need is paying bills, often by card |
| Plooto | Payables and receivables payments layer that connects to QuickBooks | QuickBooks Online and Desktop (Web Connector, periodic manual sync) | Businesses that want a payments-only layer, including Canadian EFT, on top of QuickBooks |
| ApprovalMax | Standalone approval layer for Xero, QuickBooks Online and NetSuite | QuickBooks Online only | Teams that want approvals as a standalone layer, separate from bill capture and payments |
| Tipalti | Global payables and mass payouts platform | QuickBooks Online (not Simple Start) | Companies paying large numbers of payees across many countries |
If you have a lot of bills, need each line coded and want approvals to follow the job, that's what MakersHub was built for. The others are strongest at whatever they started as.
QuickBooks Online lets you enter bills, pay them through QuickBooks Bill Pay and, with class tracking set to one class per row, code each line of a bill to its own class and customer or job. Intuit's help center says QuickBooks Bill Pay Elite adds bill approval workflows that trigger on amount, vendor or location, with up to seven approvers and up to five layers of approval.
For plenty of businesses, that's enough. Teams usually add a dedicated AP tool for one of four reasons.
If none of those is true for you yet, the signs that you need AP software on top of QuickBooks are worth a read before you buy anything.
Every tool on this list will demo well on a clean, one-line bill. These four tests use the bills you actually get.
A supplier bill with six lines can belong to two jobs and three classes. If the tool sends QuickBooks one line with one class, your job reports are wrong before anyone looks at them. AccountingTools notes that with many jobs in progress, "there is a strong chance that costs will be incorrectly assigned." Header-level coding, which means the software codes the bill as a whole but not its individual lines, is where that happens.
Hand the vendor a real multi-line bill and watch where each line lands in QuickBooks. If you want to see what it should look like, here's how to split a bill across jobs and classes in QuickBooks Online, step by step.
QuickBooks Desktop support varies more than any other line on a feature list. Some tools connect through the QuickBooks Web Connector, Intuit's utility that lets outside software exchange data with a Desktop company file. Some need a desktop bridge installed. Some sync only when someone starts the sync by hand, and a few support QuickBooks Online only. On QuickBooks Online, ask how often the sync runs, whether it's two-way, and whether a bill paid in QuickBooks updates the AP tool too.
The person who knows whether a bill is right is usually out in the field: the project manager, the site supervisor or whoever ordered the materials. Approval routing by amount and vendor is common. Routing by job, project or location is less common, and it's the version that puts the bill in front of the person who knows the work. Ask each vendor to route a bill with two jobs on it and show you who sees which lines. Our comparison of AP approval software and what each approver actually sees goes deeper on this.
Payments are where an AP mistake actually costs you money. In the 2026 AFP Payments Fraud and Control Survey, 76% of U.S. organizations reported attempted or actual payments fraud in 2025, and 58% said checks were targeted. About three in four organizations were hit by business email compromise, the scam where a fraudster poses as a vendor or executive to redirect a payment. Ask how bank details are collected and changed, whether approving a bill and releasing its payment are separate steps, and what protection sits on checks.
“Fraud prevention today is an operating model, not a single control. The best outcomes come from strengthening the fundamentals — verification, disciplined approvals and timely detection — and using technology to reinforce trust as payments move faster.”
Chris Ward, Head of Enterprise Payments, Truist, in the AFP survey announcement, April 2026What it is: AP automation and vendor payments for QuickBooks Online and QuickBooks Desktop. Best for growing businesses that track spend by project, location, program or entity, with every line of every bill coded to the right one and approved before it's paid.
MakersHub's AI engine, WiseVision, reads every line of every bill and captures 35 or more fields per bill. It codes each line to the right account and class, the right customer or job, and any custom fields, so cost codes, locations and departments land in QuickBooks too. It learns each supplier's pattern and applies that rule to every future bill from them, then routes the bill for approval by vendor, amount or job. When there's a QuickBooks purchase order, MakersHub matches the bill against it line by line, so quantity and price differences surface before the bill posts. If a bill names a vendor, item or job that isn't in QuickBooks yet, MakersHub creates the record on sync.
The QuickBooks integration is built and maintained in-house. QuickBooks Online connects through Intuit's API, and QuickBooks Desktop through the Web Connector, with the same capture, coding and approvals on both and no exported files in between. Mark a bill paid in either system and the other matches. Vendors are paid by ACH, check, wire, real-time or international payment, and every payment is traceable from authorization to deposit, with check numbers, ACH trace numbers and mailing dates logged automatically. MakersHub is SOC 2 Type II certified, with Positive Pay protection on check payments and encrypted collection of vendor bank details.
Approvers use MakersHub without training. They approve from email in one click, and see only the bills that are theirs. You set your coding rules once, and MakersHub applies them everywhere.
What it is: a procure-to-pay platform, in its own words "the intelligent Procure-to-Pay platform," built around a discussion thread attached to each invoice.
Stampli connects to QuickBooks Online through a pre-built API integration and to QuickBooks Desktop through Stampli Bridge, a connector installed alongside the Desktop company file. It brings vendors, accounts, classes, locations, projects, items and purchase orders in from QuickBooks, and sends approved bills, coding and payment records back. It's the one to look at if you want purchase requests and AP in one procurement tool.
What it is: a payables and receivables platform for small and midsize businesses and their accountants.
According to its help center, BILL syncs with QuickBooks Online automatically once a day. QuickBooks Desktop Pro, Premier and Enterprise sync through BILL's sync dashboard, and the help center notes that automatic sync isn't available there. BILL's documentation says it syncs classes at the line-item level on a bill for QuickBooks Desktop. Vendors can be paid by ACH, check, card or international payment. It makes sense if you'd rather run payables and receivables through one vendor. If you've outgrown it, see our list of BILL alternatives for accounts payable.
What it is: a card-first spend platform with bill pay, procurement and expense management.
Ramp Bill Pay syncs bills and bill payments to QuickBooks Online Essentials and above. Bills sync in U.S. dollars, and you can code each line item to the same category or different ones. For QuickBooks Desktop, Ramp offers either a Web Connector integration (on Ramp Plus) or a file export. Look here first if card spend is your bigger headache.
What it is: bill pay built for small businesses paying vendors by ACH, card or international transfer.
Melio describes a two-way QuickBooks Online sync that includes bills with multiple line items, categories, products and services, classes and locations, plus vendors and payments. QuickBooks Desktop support is limited to its higher-tier plans. It works well for small businesses whose main need is paying bills, especially by card.
What it is: a payments layer for payables and receivables that connects to QuickBooks.
Plooto imports unpaid bills from QuickBooks Online and posts completed payments back. On QuickBooks Desktop, it connects through the Web Connector on Windows, and its help center notes that the Desktop sync requires periodic manual updates. It pays by EFT, ACH, check, card and international payment. It's a good match if you want a standalone payments layer, including Canadian EFT, without changing how bills are entered.
What it is: a standalone approval layer that connects to Xero, QuickBooks Online and NetSuite.
ApprovalMax routes bills through approval conditions such as vendor, amount or GL code, and only fully approved documents land in QuickBooks Online. It doesn't list QuickBooks Desktop among its integrations. Its payments product, ApprovalMax Pay, has launched in the U.S. for QuickBooks Online customers. It suits teams that want approvals as a standalone layer on top of their accounting system.
What it is: a global payables and mass payouts platform.
Tipalti syncs with QuickBooks Online in real time on plans above Simple Start, and its help center notes that syncing coding fields such as class requires QuickBooks Online Plus. It pays in more than 200 countries through more than 50 payment methods. It's built for paying lots of payees in lots of countries: affiliates, creators, marketplace sellers.
We also looked at tools that capture bills but don't pay them, such as Dext, and at platforms whose QuickBooks pages we couldn't verify this month. That's why they're left off, and some of them may still be a good fit for you.
Start with your reports and what they have to show. If you track spend by job, location or class, the deciding question is whether every line of every bill arrives coded that way, and whether the right person approved it before it was paid. That's what MakersHub is built for, and it works the same for a 20-person contractor on QuickBooks Desktop as for a multi-location operator on QuickBooks Online.
If your main need is paying bills by card, or paying thousands of payees abroad, a payments-first tool may be all you need. If you want procurement and purchase requests in the same platform as AP, look at the procure-to-pay options. And if you're comparing across company sizes, our guide to the best AP software for small businesses covers more options.
Foster Heating & Cooling is a good example. The Vancouver Island HVAC contractor runs roughly 1,000 service jobs a month on QuickBooks Desktop. Before MakersHub, someone spent at least half a day every week matching bills to purchase orders by hand, then keyed each bill into QuickBooks. That half day is gone, and the team now checks job coding instead of typing it, as Foster's customer story describes.
“We were killing small forests every day.”
Brittany Tam, Accounting Lead, Foster Heating & Cooling, on the paper AP process before MakersHubThe best AP automation software for QuickBooks is the one that delivers every bill to QuickBooks coded line by line to your accounts, classes and customers or jobs, approved by the right person. MakersHub is the top pick: best for growing businesses that track spend by project, location, program or entity, with every line of every bill coded to the right one and approved before it's paid.
QuickBooks Online handles bills and bill payments through QuickBooks Bill Pay, and with Bill Pay Elite it offers bill approval workflows triggered by amount, vendor or location. MakersHub adds on top of that: it reads and codes every line automatically, routes approvals by job, matches bills to purchase orders line by line and syncs it all back to QuickBooks.
Several do, but the connection method varies: some use Intuit's Web Connector, some install a desktop bridge, and some rely on manual or file-based syncs. MakersHub connects to QuickBooks Desktop through the Web Connector, with the same capture, coding and approvals as on QuickBooks Online and no exported files in between.
Some can, if QuickBooks is set to track classes on each row and the software captures individual bill lines rather than just the total. MakersHub reads every line of the bill and codes each one to its own account, class and customer or job before it syncs.
If you don't get many bills and they're simple, QuickBooks Bill Pay may cover what you need. Teams usually add MakersHub when bills carry many lines across jobs or classes, when approvals need to follow the job, or when bills must be matched to purchase orders.
Most connect through Intuit's API, pulling accounts, vendors, classes and customers in and sending approved bills and payments back, though how often and in which direction varies by tool. MakersHub's QuickBooks integration is built in-house and syncs two ways, so a bill paid in QuickBooks is updated in MakersHub, and the reverse.
Separate bill approval from payment release, control how vendor bank details are collected and changed, and use check protection such as Positive Pay. MakersHub keeps approval and payment as separate steps, collects vendor bank details encrypted, adds Positive Pay to check payments and is SOC 2 Type II certified.
